Sounds fine to me. Just a couple o' questions though:
What building are you in?
Is there adequate and convenient parking (so we don't gotta lug our junk
across campus)?
How big is the conference room and does it have adequate power? (Recall
the last installfest at TNI we kept tripping the circuit breakers).

As far as the date goes, since it's in your world, pick a date that
works. I was thinking late July / early August on a Saturday somewhere
between say 10:00 am and 5:00 pm.
